Frequently asked questions on rental:

How will I be billed for the first month?

The billing cycle starts on the date the machine is shipped from the
CleanParts.com factory. The first month is prorated for the number of days the machine is
out for the first month, based on a 28 day billing cycle. A new bill is generated every 28 days (4 weeks x 7 days/week). If your machine shipped eight (8) days prior to the billing cycle and your monthly rental was $416, your first invoice would be for $416 x 8days/28days = $118.85. On the next billing cycle, you would receive a bill for full $416. The same is true when the machine is returned. The billing period ends on the day the machine is received back at CleanParts.com factory.

How often will I receive a bill for rental?

A new bill is generated every 28 days (4 weeks x 7 days/week)

Do you offer any accessories for the machines?

Yes, we offer several add-on accessories that are billed monthly in conjunction with the machine rental. Standard available accessories include:

  • Intermediate table
  • Blowoff gun
  • Power scrub brush
  • Detail brush
  • Bag filter
  • Exhaust Fan

What happens if my machine breaks down?

One of the advantages of the CleanParts.com rental program is the piece of mind that knowing if a major component on the machine fails, we will send out a new component free of charge. By renting rather then owning, expensive component failures do not have cost your company a lot of money. We will supply the needed component and provide your maintenance personal the instruction needed to replace the bad component. Once the item is removed from the machine, we require that it be returned to us for inspection. If the component failed due to normal wear and tear, you will not be charged for the replacement. Upon sending a replacement part, we will invoice for the replacement. Upon return of the bad part, if it is determined that the item failed under normal use, then a credit will be issued to offset the invoiced amount.

Do I have to pay a security deposit?

Yes, CleanParts.com rental agreements require a one month rental as a security deposit on each machine. The security deposit needs to be paid and received by CleanParts.com prior to machine shipment.

What if I keep the machine for an extra month or two?

When you first begin renting your CleanParts.com parts washer, you will complete a Rental Agreement. On the agreement, you select either a 3, 6 or 12 month rental term. If for example, you select the 6 month rental term, for additional months, you will only be billed at the initial monthly rental term rate. The rental agreement automatically continues on a month to month basis until you decide to return the machine. When the machine is received back at our factory, your final billing is prorated from the last date of the last full billing cycle to date the machine arrives on our dock.

What if I decide to return the machine before the rental period is up?

If for some reason your process changes or you do not need the machine, for whatever reason, it can be returned to us. Upon return, you will be obligated to pay for a minimum contract period of 3 months. If you return a machine early, your monthly rate will be based upon the 3 month contract rate, but you will only be billed from the time the machine left our facility to the time it was returned. Please keep in mind that minimum billing would be 3 months. If you signed a 3 month contract and return the machine after the first month, you will still be obligated to a 3 month term.

Can I have my monthly rental automatically charged to my credit card?

Yes, with your signed permission, we will automatically bill either your VISA or MasterCard credit card for the amount of your monthly rental. An invoice and credit card receipt will be mailed each billing cycle as a confirmation of the charge.

Who pays for shipping the machine and later back to the factory?

You are responsible for the charges for the machine shipment, to your facility and return shipment to CleanParts.com. We can assist with the shipping arrangements and make suggestions regarding the best methods of shipment.

How will the shipping be billed?

Billing for machine shipment can be handled in one of two ways. If you have a preferred carrier, the freight charges can be billed collect to your account. If you do not have a preferred carrier or have an account with a specified carrier, we can make the shipping arrangements and prepay and add the shipping charges to your first billing cycle.

What if I decide to keep the machine longer then the rental agreement term?

If you decide to extend your rental agreement term, CleanParts.com will extend the better pricing for the balance of the contract. As an example, if you originally signed up for a 6 month term in January and in the July you decide that you want the machine for the balance of the year. Upon notification to us, we will update your contract and bill at the 12 month rate until the machine is returned. The new rental rate will be applied to the next full billing cycle (no prorate). Please keep in mind that the new rates apply only going forward, not back. If we are not notified, we will continue to bill at the original agreed rate until the machine is returned.

What if I decide to purchase the machine I am renting?

CleanParts.com rental parts washers are available for sale. Each machine has a buy-out value that is determined by the factory. Machines can be purchased out right or can be financed through our machine leasing program.

When I return the machine will there be any extra charges?

All rental units are inspected and test prior to shipping to a rental customer. When a machine comes back from a rental, it is inspected and tested. Items that need replacing due to normal use are replaced at no cost to the previous renter. Items that are broken or damaged are deducted from the security deposit or charged back to the customer if greater then the security deposit.

s there sales tax associated with the parts washer rental?

Depending on what you are using the machine to clean, sales tax may or may not be applicable. For in process manufacturing of parts, it is likely that sales tax will not be charged. For use in a tool room or non-production activity sales tax may be payable. Given that we do not know the specific use of each machine, we ask that customers who are exempt from sales tax to complete a tax exemption certificate for our file. For those who feel that the rental is taxable in their specific location, we ask that they send us a statement indicating they will self report the sales tax to their local taxing authority.

Who is responsible for disposal of the cleaning solution?

As the user, the renter is responsible for the disposal of the used cleaning solution. The detergents that we provide are water based cleaning soaps. In most instances, the contamination being washed from the parts is a greater concern then the cleaning solution itself. For some applications, the water/soap may be able to go directly to drain. We recommend that you check with your local sewer authority to determine the acceptable PH level and parts per million of oil/grease contamination and any other limitations on what can be disposed directly to drain.

Are multiple voltages available?

Yes, the CleanParts.com cabinet washers are available in the following voltages:

  • Model 2836F
  • 230V/1PH/60Hz
  • 230V/3PH/60Hz
  • 460V/3PH/60Hz
  • Model 3648F
  • 230V/3PH/60Hz
  • 460V/3PH/60Hz

Does the rental machine include an electrical disconnect switch?

Yes, all rental units include a fused electrical disconnect switch for hooking power into the electrical control panel.

Does the rental machine include a power cord?

No, given the fact that we do not know the distance to your nearest electrical service, we do not supply an electrical cord.

What cleaning solution should I use in the machine?

With each rental contract, CleanParts.com will provide the required amount of wash detergent for a first time charge up of the machine. Based on your application, CleanParts.com personnel will recommend a cleaning chemistry that will best fit your needs.

Can I use a cleaning detergent other then those provided by Cleanparts.com?

Yes, with prior approval from Cleanparts.com. There are several brand name detergents that are compatible with our equipment, but we require that all chemistries other then Cleanparts.com brand be preapproved before use. The Cleanparts.com machines are designed for use with water based cleaning detergents only. Acid based chemistries can not be used in Cleanparts.com machines.

Who is responsible for machine clean-up prior to returning to Cleanparts.com?

The renter is responsible to thoroughly clean the rental machine prior to returning to Cleanparts.com. All oil, grease and other contamination needs to be flushed out completely. If the machine is returned and is not clean, then the renter could be subject to a cleaning charge, which will be withheld from the security deposit.
